Traralgon Croquet Club: Securing a grant to engage the GippSport team for digital design work

Traralgon Croquet Club secured a Sporting Club Grant to engage the GippSport team for digital design work. We used our graphic design and social media expertise to help the club identify the best online platform for its internal and external communications and develop branded promotional materials.

The Story of Traralgon Croquet Club

Without adding more responsibilities to the existing committee, Traralgon Croquet Club created a clearly defined role to fit an identified need in developing effective communication with its members and the greater community.

With the support of the GippSport Program Coordinator, Traralgon Croquet Club secured a Sporting Club Grant to engage the GippSport Community Solutions team for digital design, to increase the online presence of the club.

How Traralgon Croquet Club communicated to members and the community before working with our team

Online tools allow conversations to happen with the people important to your club, whether that’s your members, volunteers, players, supporters, parents, or sponsors.

Traralgon Croquet Club identified that club communication was an area they would like to develop as they could not get the information out to the members fast enough and had very little online presence. The current system of emails and printed newsletters was just not cutting it to provide members with quick information of cancellation of events.  

Trying to attract community members to the club’s twilight light croquet competition and come and try days was a challenge as the messaging of these events was not reaching the broader community.

After connecting with a GippSport Program Coordinator for help and support for the club’s upcoming spring twilight light croquet competition, a conversation developed as to whether GippSport could assist in helping Traralgon Croquet Club with increasing its messaging to the community. The Traralgon Croquet Club identified a weakness of not having a skilled person within their committee to promote the club’s event.

Our Program Coordinator identified that this was an area that the GippSport Community Solutions team could assist with. We began working with Traralgon Croquet Club to determine what the club’s needs and issues were, their skill and knowledge level, and finding a grant to support the work undertaken by the GippSport Community Solutions team.


Our Program Coordinator worked with Traralgon Croquet Club on a Sport and Recreation Victoria’s Sporting Club Grants Program application. The grant would subsidise the cost of the work undertaken by the Community Solutions team to increase the club’s capacity in digital communication and create an outcome that would serve the club’s longer-term needs.

How Traralgon Croquet Club Utilised the Community Solutions wealth of expertise

After successfully receiving the Sporting Club Grant, the GippSport Community Solutions team began work. The Community Solutions team met with the Traralgon Croquet Club, where it was identified what they would like to achieve: 

  • Determining which digital platform would work best for their communication needs. 
  • Developed communication role and responsibility description 
  • Training resource
  • Poster templates 
  • Policy template for Child Safe Standards 

To determine the digital platform that would suit the club, required an understanding of the skill and knowledge of the club’s members, and was undertaken using our marketing toolkit.  We determined their level of comfort in utilising different technologies, and what outcomes they would like to get out of a digital platform.

Our team worked with the club to understand their needs; a tool with an online presence that can notify members was high on the list. We landed on Team App as a tool of choice. Utilising Team App has allowed the club to improve communication by creating their own smartphone app and dynamically updating their website.  

The Results

Finding the right person to take on a new role can be tricky. Our team worked with the Traralgon Croquet Club to create documents, resources, and training to assist the club member in leading its digital communication, making it less overwhelming.

As part of creating resources for the club, we needed to find someone to take on this new role. We tried advertising on Community Solutions Facebook, but the club successfully found a person within their members to take on the role.
